This document provides settings to ensure the optimal student and instructor experience using CTEtechWorks (LMS).
Whitelist Litmos Domain
The fastest way to improve the student and instructor experience in the LMS is to whitelist or allow litmos.com domain. While IP addresses are provided in the following pages, those are subject to change by our LMS provider.
Bypass Gaggle
Safety Management Software
- Gaggle is a platform that monitors student activity to ensure students don’t harm themselves or others. We have noticed an increase in the use of this platform. Completing the following steps will provide a better experience when using the password reset feature and receiving emails from the LMS.
- Allowing email to bypass Gaggle requires multiple steps.
- Allowing the Litmos domain and email from the LMS (system@litmos.com) requires different steps depending on how Gaggle is set up in your environment.
- Once you have completed the setup in your environment, please get in touch with Gaggle to fully bypass litmos.com. If Gaggle is not contacted, the students may not receive emails sent from the LMS.
Resolving Issues with Expired Links
Microsoft Outlook Users
- The user can log in to the LMS using their regular credentials or, if your company uses SSO, with their SSO credentials. If the user does not remember their credentials or don’t use SSO, they can use the ‘Forgot Password’ link and access the LMS.
- If your Company’s email server is scanning the link before the user receives the email (causing the link to no longer be valid), please share this information with your IT team. They might be able to configure links from Litmos to bypass the scanning, which will allow links to be untouched and allow the 'first time' click to be made by the user themselves.
Clients using Microsoft Email Services
If users are using a personal inbox (such as outlook.com / hotmail.com), they will need to disable 'link preview'. Use Link Preview in Outlook.com and Outlook on the web - Microsoft Support
If your Company uses Microsoft 365, your IT department can action the following:
- Go to security.microsoft.com and log in to your account. Be advised that administrator permissions will be required.
- In the left-hand menu, click on Threat Management, then select "Policy" from the drop-down menu.
- On the Threat Policies page, under the Rules heading, click Advanced Delivery.
- On the Advanced Delivery page, you will see two tabs, the Spec Ops tab and the Phishing Simulation tab. Click on "Phishing Simulation." 5. On the Phishing Simulation page, below the heading, click "Edit."
- In the side window titled Edit third-party phishing simulations, click on the Domain drop-down. Add your domain to the field provided. The domain(s) you add here will be the training domain you use in your templates.
- If link scanning is used in your tenant, you'll need to configure Simulation URLs to allow. Click this drop-down and enter each Litmos domain you use in this format: https://hbi.litmos.com/*
Note: This issue seems to impact users using webmail as opposed to using the native Outlook program.
If you are not using a Microsoft Service, there should be a setting to prevent previewing links from litmos.com, which your IT team can investigate.
Gmail Users: Turn off the preview pane.
- On your computer, go to Gmail.
- At the top right, click Settings and then See all settings.
- On the top, select the Inbox tab and then scroll to the Reading pane.
- Uncheck the "Enable reading pane" box.
- At the bottom, click Save changes.
